Job Description:
1. Create and prepare Bid Folders for the sales team in both hard copy and electronic format to include: ? Print the bid invite/email sent from sales member and file into hard file ? Download plans and save in to the appropriate share drive folder ? Extract plans if compiled; separate each by – architectural, structural, mechanicals, etc. ? Send the plans to Engineering Dept. (Porfirio Gomez) for printing 2. Hand off printed plans and bid folder to the appropriate sales team member as instructed by the Sales Manager, for their review, to see if the Request for bid is suitable- this is critical and time sensitive, pursue a prompt and efficient turnaround, and retrieve the Bid Folder after the review is complete. 3. Maintain & update the Bid White Board, writing the job numbers, bid date and the Sales Member assigned to the Request for Bid. 4. Stay in constant communication with sales member. (Are we still bidding? Submission Date Reminders, et al.) 5. Once bid folder is received back with the approval to proceed with the bid process, set up a Drop Box file to send for subcontractor/vendor quotes (see drop box instructions) a. If required, set up piping and controls electronic Bid Files in the digital Bid Folder. 6. Send requests to appropriate subcontractors and vendors, with the delegated Sales Members contact information. a. Once Vendor Quotes are received, file them electronically and print hard copies i. If quotes have not been received 3 days’ prior the bid date, send reminder emails and/or calls – to ensure Vendors responses. ii. If quotes are not received the day prior to the bid date, let the sales member know immediately and work together on calling the vendors iii. If quotes are not received on bid day, make it a priority to get the requested quotes as this is critical to providing the bid. b. Once all quotes are collected, hand off the bid folder to the sales member, noting the Bid Date and any additional details or comments collected to help the Sales Member produce a bid.
