Job Description:
Purpose of the Role: Manage the supervision and scheduling of mechanical work to be completed. Work can be done in residences and commercial. Responsible for job completion and the support and training of lead technicians, apprentices, helpers and other technicians. Hours vary however, Service Managers generally have the 24 hour a day responsibility for overseeing all service work done. Work Times: 8:00am-4: 30 pm; there will be times that staying late or being here early is expected. There will be a Friday morning meeting at 7:00 am. Key Relationships: Staff of OCM, including Corporate office, Installers, Service Technicians, Apprentices, Helpers, Existing Clients, & Potential Clients. Expectations: Profit Centre • Identify new accounts through cold calling and following up with all sales leads. • Maintain frequent contact with existing customers. • Prepare formally written estimates and provide field pricing to technicians. • Provide assistance to technicians with locating material and equipment when required. • Provide technical assistance to technicians when required. • Work with Inventory Manager to manage Truck Stock and shop inventory. • Work with Dispatchers to schedule and prioritize jobs appropriately to ensure they are completed under budget and to the highest level of customer satisfaction. • Keep track of and consistently follow up on all proposals. • Follow up with customers to ensure the highest level of customer satisfaction was achieved. • Review and approve service tickets and invoices for billing and COD payments. • Consistently be reviewing the incomplete folder to ensure all jobs get completed in a timely fashion. • Develop a monthly training program for all technicians. • Complete Feedback Coaching /Staffing Interviews Monthly to set goals with technicians. • Supervise the cleaning and maintenance of equipment and vehicles. • Follow-up on all warranty parts that need to be returned. Role Requirements To be able to successfully perform this role it is expected that you should possess or be able to - Skills • Analytical and observational skills that demonstrate an ability to review, forecast and develop job plans & recommendations. • Ability to multitask • Strong computer and internet skills • Able to communicate effectively • Problem Solver and able to delegate • Product knowledge and awareness • Client focused • Well organized and ability to work independently Knowledge • Knowledge of HVAC and all related products and services • Excellent time management skills and ability to multi-task and prioritize work • Attention to detail and problem-solving skills, strong analytical skills • Excellent written and verbal communication skills Qualifications / Experience • State of KY Journeyman’s or Master HVAC license • EPA Certifications • Nate Certifications or HVAC supervisor would be a plus • Comprehensive understanding of HVAC and Boilers • Minimum of 2 years of estimating experience with both formal and field estimates • Excellent writing skills including a broad understanding of Microsoft Word and Excel • Minimum of 2 years of Management experience • Self-starter and very organized individual that pay close attention to details • Ability to motivate and train Technicians • Strong communication skills, both verbal and written • Proven Sales Experience Personal Attributes • Personable, Positive and helpful • Able to maintain confidentiality • Excellent communication skills • Able to think laterally & Intuitive • Ability to work independently & exercise sound judgment • Able to build strong, cohesive working relationships • Able to remain calm & manage own emotions • Capable of problem-solving & troubleshooting • Efficient & Organized • Knowledge of industry, equipment, & codes Clients • Provide general support to clients, • Assist with the development and coordination of client retention initiatives. Projects • Manage both the domestic and commercial service work along with special project contractual work. Office & Systems • Serve as the point person for ordering & purchasing inventory for truck stock and shop inventory. • Organize and schedule meetings and appointments with clients & dealers as necessary. Regular meetings for techs. • Prepare formal estimates, provide field pricing to techs, provide technical assistance to techs. • Provide general support to clients. • Communicate with the dispatcher for proper scheduling and dispatching of technicians. • Review and approve service tickets and invoices for billing and COD payments. Marketing & Planning • Attend home shows as needed Key Responsibilities & Accountabilities Outcomes /Measures – the person in the role should know they have performed if the following are achieved - Schedule & Prioritize jobs Maintain frequent contact with customers • Jobs will be done on-time and under budget • Increased #’s of good customer reviews • Decreased # of estimate errors • Decrease in the loss of customers Provide assistance to technicians Oversee the training and efficiency of technicians & apprentices. • Job efficiency will increase • Fewer trips to the supply house • Less time on hold with technical support • Decrease employee turnover • Increase employee certifications and continuing education Manage truck stock & shop inventory Supervise cleaning and maintenance of equipment & vehicles Review & approve service tickets/invoices for billing • Fewer purchasing errors resulting in fewer reconciliation errors • Increase in job profitability due to fewer runs to the supply house • Increase revenue from new clients seeing the “moving billboards” • Increasing revenue due to increased efficiency because all parts are in the same place for every van. • Decrease billing errors • Decrease time errors from technicians
